How to make a home inventory for insurance
A home inventory app keeps a list of everything you own, with photos and values, so an insurance claim isn’t a memory test. After a fire, a break-in or a flood, your insurer asks what you lost: what each thing was, what it cost and when you got it. Listing it from memory after a loss means forgetting things you owned and paid for. A home inventory made now is that list, ready when you need it, which is why state insurance departments and the Insurance Information Institute tell homeowners and renters to keep one.
What to write down for each thing
- A photo, close enough to see what it is. For electronics and appliances, add one of the label with the model and serial number.
- What it is, with the brand and model where there is one.
- Roughly what you paid and when. No receipt? A fair estimate is fine.
- What it would cost to replace today.
- For jewelry, art and other valuables: receipts or appraisals, with a copy kept outside your home.
Go room by room
Start with the rooms where the expensive things are, usually the living room, the kitchen and the main bedroom. Open closets, cabinets and drawers as you go. Big things like furniture, appliances, TVs and computers get an entry each. Smaller things can be grouped: “about 40 paperback books”, “6 winter coats”.
Then the places people forget: the garage and its tools, the basement and attic, the patio furniture and grill, bikes and sports gear, and anything in a storage unit. Don’t wait until you can do the whole house in one go. Half an inventory is far better than none.
Replacement cost or actual cash value?
Policies pay for belongings in one of two ways. Replacement cost pays what it costs to buy the thing new today. Actual cash value pays what it was worth when you lost it, after age and wear. Your policy says which one you have. Keeping both values for your bigger things means you have the right number either way.
Keep it safe and up to date
A list kept in a drawer can be lost along with everything else, so keep a copy online. Add things as you buy them, and look over the whole list once a year, for example when your policy renews.

Do I need receipts for a home inventory?
Not for everything. For most things, a photo, a description and an honest estimate of the price and purchase date are what you can give. For valuable things, keep receipts or appraisals, with a copy outside your home.
How often should I update my home inventory?
Add things as you buy them, and look over the whole list once a year. When your policy renews is a good time, so you can check your cover still fits what you own.

Is there a free trial?
Yes. New accounts get 72 hours free on any paid plan. Your card is taken at checkout and charged when the trial ends, unless you cancel in the app before then. We email you a reminder before it ends.
Why not just write on the box or keep a spreadsheet?
You can, but a marker only fits a few words, and a spreadsheet has no photos and doesn’t open when you scan a box. BoxTrack keeps a photo of each thing, opens a box’s list when you scan its QR label, and finds which box anything is in. On Plus and Unlimited you can still export everything to Excel or CSV.
Can I track how much each box weighs?
Yes, on every plan. Turn on Weight with one tap, set your mover’s or airline’s limit, and BoxTrack shows the total weight of every box and warns you when one is over. You can also add owner, status, destination room or fragile; on Plus and Unlimited you can make your own fields too. They all appear in your exports.
Do I need to install an app?
No. BoxTrack runs in your phone’s browser: open box-track.com and sign in. On iPhone, tap Share → Add to Home Screen to keep it one tap away.
What’s the difference between used and replacement value?
Used value is what an item is worth now, which is what customs usually asks for. Replacement value is what it would cost to buy new, which is what insurers use. BoxTrack tracks both, so one inventory works for either.
What if the movers lose or break something?
You’ll be able to show what was in it. Snap each thing as you pack, with what it’s worth. On moving day, scan each box’s QR label as it comes off the truck, and any box that didn’t arrive stays on the list. For a missing or broken box you have every item in it, with its photo, the date you added it and its value. BoxTrack makes a PDF report of it for your claim: free on your first box, then on Plus and Unlimited. Filing the claim is still yours to do.
Can BoxTrack make my customs list?
Yes. BoxTrack lists every item box by box, with its value. On Plus and Unlimited you can export the list to Excel or CSV, then copy it onto the form customs asks for (like Canada’s BSF186) or send it to your mover. Tag things Ship and the export can include only those. BoxTrack doesn’t fill in or file official forms, and doesn’t translate.
Can I use BoxTrack for a home inventory?

Before you drive over, search for the thing to see which box it’s in and where it sits. On Plus and Unlimited you can share the boxes with family.
