Storage unit inventory list

Pax, BoxTrack’s helper, scanning a box’s label

A storage unit fills up fast, and a few months later nobody remembers which box the tent went in. Keep a list: every box, what’s in it and where it sits in the unit. Here’s one free, in Excel to fill in on a computer or phone, or as a PDF to print and fill in by hand. No sign-up.

Storage unit inventory list

Excel (.xlsx), which opens in Google Sheets and Numbers too, or a PDF to print.

What’s in it

  • In Excel: your list, with room for 300 boxes, your unit’s details, and the number of boxes still in the unit and their total value at the top, worked out as you type. A sheet for furniture and big things, a filled-in example, and how to use it.
  • In the PDF: pages to fill in by hand (print the second as often as you need), a grid to sketch where everything sits in the unit, and a page for furniture and big things.

The columns

Box
The number written on the box. Start at 1 and never use a number twice.
Where in the unit
Where it sits, so you can reach it: “back left, bottom” or “front, by the door”.
What’s inside
Enough to find things later: “camping stove, lantern, sleeping bags”, not “camping stuff”.
Category
One word to sort by: clothes, holiday, papers, tools, kids.
Value
Roughly what’s inside is worth, for your insurance and in case a box is damaged.
Date in
When it went into the unit.
Taken out
When you took it out for good, so the list stays true.
Notes
Anything else: “fragile”, “heavy”, “keep dry”.

How to use it

  1. 1Number every box, and write the number big on two sides and the top, so you can read it however it’s stacked.
  2. 2Fill in a row as you seal each box: what’s inside, and roughly what it’s worth.
  3. 3Load heavy boxes at the bottom and light ones on top, with what you’ll need soonest at the front and a path down the middle to the back.
  4. 4Write down where each box ends up, or sketch the unit on the PDF’s map page.
  5. 5Photograph the unit from the door once it’s full, and keep the photo with your list.
  6. 6Each time something goes in or comes out, update the list, and keep a copy on your phone so you have it at the unit.

Check your insurance first

Some home and renters policies cover things kept away from home only up to 10 percent of your personal property cover, and floods, mold and pests are often left out. Many facilities ask for proof of insurance, or sell their own cover. Ask your insurer what yours covers, and keep this list for a claim.

Or let BoxTrack keep the list

Give each box a QR label and snap what goes in. At the unit, scan a box to see what’s inside without opening it, or search “tent” and BoxTrack tells you which box it’s in, from your phone.

Questions

How do I keep track of what’s in my storage unit?

Number every box, list what’s in each number, and note where it sits in the unit. Update the list when something goes in or comes out, and keep a copy on your phone so you have it at the unit.

Does my home insurance cover a storage unit?

Often, but maybe not in full. Some home and renters policies cover things kept away from home only up to 10 percent of your personal property cover, and floods, mold and pests are often left out. Ask your insurer, and ask the facility what it requires.

How should I organize a storage unit?

Heavy boxes at the bottom and light ones on top, what you’ll need soonest at the front, and a path down the middle so you can reach the back. Number every box and write down where each one sits.

Does it work in Google Sheets or Numbers?

Yes. Open the .xlsx file in Excel, Google Sheets, Numbers or LibreOffice: the box count and the total value work in each of them. Rather use paper? Print the PDF and fill it in by hand.
