Moving inventory list template

A moving inventory list is every box you pack, what’s in it and where it goes. On moving day it tells you every box came off the truck, and if one didn’t, what was in it. Here’s one free: in Excel to fill in on a computer or phone, or as a PDF to print and fill in by hand. No sign-up.

What’s in it
- In Excel: your list, with room for 300 boxes and the number of boxes, how many are loaded and arrived, and their total value at the top, worked out as you type. A sheet for furniture and big things with how they looked before the move, a filled-in example, and how to use it.
- In the PDF: pages to fill in by hand, with lines for each box and boxes to tick. Print the second page as many times as you need, and the third for furniture and big things.

The columns
- Box
- The number written on the box. Start at 1 and never use a number twice.
- Room
- The room it goes to in the new home.
- What’s inside
- Enough to find things later: “winter coats, boots, scarves”, not “closet stuff”.
- Fragile
- So it’s loaded with care, and you open it first to check for damage.
- Open first
- The boxes you’ll need on the first night.
- Value
- Roughly what’s inside is worth. Useful if the box is lost or damaged.
- Loaded
- Tick it as it goes onto the truck.
- Arrived
- Tick it as it comes off at the new place.
- Notes
- Anything else: “heavy”, “this side up”, a scratch it already had.
How to use it
- 1Number every box, starting at 1, and write the number big on two sides and the top.
- 2Fill in a row as you seal each box, while you still know what’s in it.
- 3Name what’s inside clearly. List valuable things one by one, and group the rest: “towels, 6”.
- 4Put a rough value on boxes worth more than a few dollars, and photograph valuable things before you pack them.
- 5Keep a copy somewhere other than one phone or laptop, and have it with you on moving day.
- 6On moving day, tick each box as it’s loaded. At the new place, tick it as it comes off the truck, and note any damage on the mover’s paperwork before you sign.

What is a moving inventory list?
A list of every box you pack: its number, the room it goes to and what’s inside, sometimes with values. It shows you that every box arrived, helps you find things when you unpack, and backs up a claim if something is lost or broken.
Does it work in Google Sheets or Numbers?
Yes. Open the .xlsx file in Excel, Google Sheets, Numbers or LibreOffice: the box count and the totals work in each of them. Rather use paper? Print the PDF and fill it in by hand.
Do I need to list every single thing?
No. List valuable or important things one by one, and sum up the rest: “towels, 6” or “kids’ books, about 30”. Enough that you could say what was in a box if it went missing.
My mover makes an inventory. Do I need my own?
It helps. For a move between US states, the mover lists each box and its condition, and you sign that list at pickup and at delivery. Your own list is how you check theirs before you sign, and it says what’s in each box in your own words.
