Marker vs QR

QR code box labels vs writing on moving boxes

A marker is free and fast. A QR label shows everything inside the box when you scan it. When each makes sense, and how to use both.

In short

Writing "KITCHEN" on the side of a box is the oldest moving trick there is, and for a lot of boxes it's enough. The trouble starts when you need one particular thing and there are forty boxes that say KITCHEN.

We picked these rows and we make BoxTrack, so read it with that in mind. Every fact links to its source below.

Where a marker wins

  • Free and instant. No printer, no phone.
  • Movers can read it. The room name tells the crew where the box goes at the new place.
  • Works with no battery or signal.

Where a marker falls short

  • It only fits a few words. "Kitchen – misc" tells you nothing about where the can opener is.
  • You have to open boxes to find things. Which is the whole problem.
  • There's no record. If a box goes missing or arrives crushed, the side of a box isn't proof of what was in it.

Where QR labels are overkill

  • A short local move with a dozen boxes you'll unpack the same weekend. A marker is fine.
  • No printer. You can still write the box number by hand and keep the list in the app, but printed labels are easier.
  • Cost. BoxTrack's free plan covers 1 box. A full move needs a paid plan, with a 72-hour free trial.

The details

What a QR label adds

In BoxTrack, each box gets a QR label (on standard Avery 5163 Letter or L7165 A4 sticker sheets). You snap what goes in, and AI lists the items, with values if you want them. Later, point any phone camera at the label to see the full contents without opening the box. Or skip the label and search: "can opener" tells you which box it's in.

On moving day, you can scan each box as it comes off the truck, and BoxTrack shows which boxes haven't arrived.

Use both

The best system we know is a big room name in marker on two sides, so the movers can read it, plus a QR label on top for you. If you'd rather not use an app at all, our free printable moving box labels give each room its own color and a line for the box number, and the moving inventory list template keeps the list in Excel.
